Guide: Why every organization should use process maps

1. Clarify goals and benefits

Before you start, clearly define what the process map is supposed to achieve:

• Is it about greater transparency within the company?
• Will it serve as a basis for digitalization or automation?
• Do you want to establish a common understanding of processes within teams?

2. Involve stakeholders

Involve the relevant people at an early stage:

• Specialist departments
• Process owners
• IT or QM
• Management (for strategic integration)

3. Structure the process landscape

Structure your processes and assign them to the following categories:

• Management processes (e.g., strategy, controlling)
• Core processes (e.g., product development, customer service)
• Support processes (e.g., IT, HR, accounting)

4. Identify end-to-end processes

Focus primarily on end-to-end processes – from customer requirements to service delivery. This will reveal where interfaces, media breaks, or optimization potential exist.

5. Create a visualization

Now it's time to present your findings:

• Use tools such as Adonis or other BPMN-compatible modeling tools
• Keep the presentation clear, consistent, and readable

6. Plan implementation and communication

A process map is only effective if it is used:

• Explain the benefits and target groups
• Make the map accessible (intranet, training, print)
• Maintain it regularly and update it when changes occur
