Live recordings at EULAR congress 2023

Initial situation

Every year, the European Alliance of Associations for Rheumatology – EULAR for short – organizes a conference for professionals and patient organizations working in rheumatology. This conference aims to promote scientific, educational and social exchange at the highest level to achieve progress in the clinical care of people with rheumatic diseases. The Congress attracts over 18,000 delegates from more than 130 countries each year, and recently has earned a reputation as one of the most innovative platforms for practicing physicians.

This starting position, their digitization efforts as well as the challenges posed by Corona, led EULAR to embark on a new digital path, in which brix was able to accompany them.

Challenge

The big challenge was to transfer the video recordings of the sessions directly from the congress from the planning system of M-Events into the DAM system CELUM, which is central for EULAR, and from there to the streaming platform Vimeo and the own e-learning platform – supervised by LearnChamp.

The entire content – 2023 consisting of 711 presentations from 139 sessions – was to be uploaded live during the event and made available to all participants after one day at the latest. In addition, all metadata about the recordings should be transferred to the different systems. This metadata includes all information about the congress, the sessions, presentations, speakers, and chairs.

With the publication of the presentations, EULAR wants to achieve that medical information is available to a wider audience and that the medical knowledge spreads easier and faster.

Realization

To make a smooth integration possible, an interface was provided by M-Events, through which all necessary information could be obtained. The files were uploaded live during the congress and imported into CELUM using the «Shadow Asset» extension. For this purpose, brix implemented a metadata concept that enables the automated, structured storage of data using keywords.

After the data import was completed, the recordings were exported directly to the streaming platform Vimeo using «Vimeo Connect» for optimal playback.

After the output to Vimeo, the metadata could be exported to Totara, the e-learning platform operated by LearnChamp. For this purpose, we implemented a custom service for the export from CELUM.
