Sharedien Release 3.23 – AI, Workflows, and Versioning

The powerful GPT-Image-1 model from OpenAI is now integrated directly into the Sharedien Image Editor & Generator. This allows users to generate high-quality, photorealistic images via a simple text prompt – directly in the DAM workflow, without any detours. What does this mean for you?

You can now do the following directly in Sharedien:

Metadata management and enrichment are even more powerful thanks to intelligent AI-based automation. Sharedien extends the import and generation process with two new, practical features:

Generate Text (OpenAI Connector)

With the integration of ChatGPT into metadata processing, new user-defined prompts can be used to:

• Create SEO-optimized texts
• Automatically generate relevant keywords for assets
• Generate summaries or abstracts from existing content

The GPT service can be operated either directly in Sharedien (Azure) or integrated via a separate API – maximum flexibility for your system landscape.

Typical application:

• Automatic localization and translation of texts
• Content tagging for PIM and commerce
• Intelligent summaries for media files

Text Detection in Documents (Azure Document Intelligence Connector)

With the integration of Azure Document Intelligence, Sharedien automatically recognizes content from structured and unstructured documents such as:

• Invoices
• Contracts
• Forms
• Tables

The extracted information (text, fields, layouts) can be transferred directly as metadata – ideal for document management, compliance, or automated categorization.

This results in less manual input, faster data availability, and more context.

Individual workspace statuses

Workspaces can now display a freely definable status – e.g., “In planning,” “Photo shoot,” “Retouching,” “Quality control,” “Completed.”

• Quick status changes directly in the overview – individually or in batches
• Define your own status models and specify transitions
• Manage statuses via the menu (three-dot menu in the workspace)
• Track processes seamlessly – from planning to approval

Clear responsibilities in every step

With the new responsibility functions (workspace assignees), you can now define exactly who is responsible for what and when – for every single processing step.

• Workspaces can be assigned to specific individuals
• Ideal for photo teams, for example: photographers take on all workspaces with the status “Photo shoot”
• Automatic assignment possible when status changes
• Notification via email and inbox when a workspace is assigned

New workspace overview

The new Summary View provides a compact overview of briefings, assets, and progress – without having to switch to each individual workspace.

You can choose from three views:

• Gallery view
• Table view (spreadsheet)
• Review view with focus on comments, metadata, and versions

Multi-version upload

From now on, multiple versions of an asset can be uploaded across multiple workspaces in one step.

Highlights

• Automatic matching by file name (including common versioning such as file(1).jpg)
• Upload as new assets or as new versions of existing files
• Select individually or in batches
• Info pop-up when duplicates are detected
• Function is enabled by default but can be disabled in the admin area

Further improvements in the Workspace module

• Copying metadata now also works between user-defined entities
• The new GEN AI Image Editor is fully integrated – create and edit images directly in the workspace
• Briefings are displayed in a structured column view for better readability
• The relation type selection during entity creation has been improved and aligned with batch editing

Metadata lists are a central element of any DAM structure. The new release makes managing them much more flexible – for greater control, clarity, and data quality.

• Enable/disable list entries
  List values can now be easily shown or hidden – without deleting them.
• Permanently delete entries
  Values that are no longer needed can be permanently removed. Important: Deleted entries cannot be restored.
• Control search behavior
  Admins can specify whether deactivated values should be visible in search filters and advanced search.

Your benefits:

• Deactivated values are clearly marked – e.g., in existing metadata tags.
• This allows users to immediately recognize that a value should no longer be used.
• The note helps you retag assets with valid entries.

Collection categories now included in ZIP downloads

When you share a collection, the structure of the collection is now embedded directly in the downloaded ZIP file. This means:

• Category structure is retained
• External recipients retain the organizational context
• Content is easier to organize and use—no questions asked

This improvement provides greater clarity and a significantly better user experience when sharing externally.

Mass Metadata Edit now available for all entities

The mass metadata editing feature has been expanded and now supports:

• Workspaces
• Custom Entities
• All other entity types

In addition, the mass editing report now also includes all custom entities – for full transparency about what has been changed.

Whether individual asset export or optimized integration: these new features make working with Sharedien even more flexible – especially in conjunction with PIM and DAM systems.

Download assets individually

In addition to the familiar ZIP download, the “Download Individual” option is now also available:

• Individual downloads: Each asset is delivered separately
• Ideal for users who only need selected files
• Settings are saved per user – for a personalized experience

Sharedien widget

The redesigned widget offers greater convenience and flexibility – especially for integrations with product databases (PIM) or CMS systems.

New:

• Select and upload assets in a single interface
• Property identifiers and derivation identifiers can be used to load specific metadata or derivations
• Full-screen navigation can be hidden for lean, embedded integrations
